AI in business processes: where to start
How to introduce artificial intelligence into business processes: choosing the first use case, preparing the data and measuring the results.

Artificial intelligence has become part of many people's everyday work, but for a business the real question is a different one: where can it deliver a tangible benefit to its processes? Getting off on the right foot avoids costly projects that never get beyond the experimental stage.
1. Choose a problem, not a technology
The first use case should be a frequent, time-consuming task for which data is already available. A few examples: answering recurring questions about orders and stock levels, classifying incoming documents, summarising support requests, finding information scattered across manuals and procedures, preparing reports for management.
2. Look at the data you already have
AI works well when data is tidy and accessible. The management software, the CRM, the document management system and the ticketing system already hold a great deal of useful information. If master data is full of duplicates or documents are not filed consistently, it is worth spending some time putting them in order: traditional processes will benefit too.
3. Keep people at the centre
In the projects that work, AI suggests and people decide. A draft reply, a proposed classification, a summary to be checked: you save time without losing control. Involving the people who will actually do the work from the outset also helps in choosing the right use cases.
4. Think about security and confidentiality
Which data can leave the company? Who can see what? The answers determine whether to use cloud services, locally installed models or a combination of the two. Permissions and request traceability must be the same as in the management software.
5. Measure
Before starting, it is worth setting a simple indicator: minutes saved per case, customer response time, errors avoided. After a few weeks, the numbers will tell you whether to extend the project.
A practical first step
With Dashboard IA, Labinf Sistemi lets you query your management software data in natural language, obtaining tables and charts without writing queries. It is often the simplest way to see first-hand what AI can do with your own data, starting from systems such as iDempiere.
